When the AC quits at 9 PM, your phone still books the call.

We build AI into the HVAC shop you already run. No-cool calls get answered and booked while your dispatcher sleeps, replacement proposals get followed until the homeowner decides, and maintenance members hear from you before their agreement lapses. Your techs stay on the truck, your CSRs stop drowning in July, and every piece lives inside your own ServiceTitan or Housecall Pro account.

Free video call. Nothing gets quoted unless it can return 300% in the first year.

Where an HVAC shop loses money between calls

Heat-wave calls that ring out

The first 95 degree week fills every line at once. CSRs juggle holds, callers hang up and dial the next company on the search page. Those are diagnostic fees, repair tickets and sometimes a full system swap, gone before anyone on your team knew the phone rang.

Replacement proposals left sitting

A comfort advisor presents good, better and best options at the kitchen table, the homeowner wants to think it over, and the proposal sits in the system. Nobody calls back on day three or day ten. Five-figure jobs quietly go to whichever contractor kept the conversation going.

Memberships that lapse quietly

Maintenance agreements are the steadiest money in the trade, but renewals depend on someone remembering. When spring and fall tune-up reminders go out late or not at all, members drift away, and with them go the priority calls and the inside track on the next replacement.

Techs doing paperwork in the driveway

After every call a tech has photos to upload, notes to type, refrigerant readings to log and an invoice to finish. Half of it gets skipped. The office chases details for days, invoices go out late and nobody can see why a recall happened.

11%projected growth in HVAC tech jobs

BLS projects employment of heating, air conditioning and refrigeration mechanics and installers to grow 11 percent from 2025 to 2035, much faster than the average for all occupations.

U.S. Bureau of Labor Statistics, Occupational Outlook Handbook, 2025 to 2035 projections
$4,500a month from after-hours calls that used to ring out
  • 30 after-hours repair calls a month reach voicemail
  • 1 in 3 gets answered by text and booked: 10 jobs
  • $450 average repair ticket

This is an example with round numbers; on the free call we run it with your own call logs and average ticket.

Two ways AI pays for HVAC companies. We build both.

Grow revenue

Speed to Lead

Every no-cool call gets a reply

When a call goes unanswered or a web form lands after hours, the homeowner gets a text within seconds that asks the triage questions your CSRs would ask: which unit, what it is doing, whether anyone in the home is struggling in the heat. The answers and a held slot land on your dispatch board, so the morning starts booked.

Quote Follow-Up

Replacement proposals that keep moving

Each unsold proposal gets a follow-up sequence written around the options that homeowner saw: a short recap the next day, financing questions answered, a reminder before a manufacturer promotion ends. Your comfort advisor sees who opened what and calls the warm ones first, instead of working a cold list on Friday afternoon.

Review Requests

Reviews after the house cools down

The best moment to ask for a review is an hour after the system kicks back on, not a week later. We trigger the ask from the closed job and name the tech who did the work. A low rating reaches your service manager privately, so it gets handled before anyone posts it on Google.

Grow margins

Customer Documentation

Job notes written from the tech's voice

Techs talk through what they found while packing up, and AI turns it into clean notes, a homeowner summary and a photo set attached to the job. Model and serial numbers, refrigerant added and recommendations land where your office expects them, which means fewer calls to the truck and invoices that go out the same day.

Back-Office Automation

Membership renewals that run themselves

Agreement renewals, tune-up scheduling and the reminder texts behind them run on a schedule tied to your field software. Expiring members get a renewal ask a month out, booked members get a confirmation, and your office only touches the exceptions. Nobody spends every March and September building call lists by hand anymore.

Call Scoring

Every booking call reviewed

No manager can listen to hundreds of calls a week. We score each recorded call on whether the CSR asked for the booking, offered the membership and set clear expectations on the diagnostic fee. You get a short weekly read on who needs coaching and which call types are slipping, so training goes where the gaps are.

Why HVAC owners bring us in

We start where the phone rings

Most HVAC leaks begin at the CSR desk and the dispatch board, so that is where we look first. We map how a no-cool call moves from ring to booked slot to closed invoice, then build around the steps that drop the most money.

Built inside your field software

Your shop already lives in ServiceTitan, Housecall Pro or FieldEdge. We connect to those accounts rather than adding another app your techs will ignore. Customer data stays in your own systems, and every build is scoped and priced in writing before work starts.

Ready before the summer rush

A build that goes live in August helps nobody. We plan timelines around your shoulder seasons, so the system gets tested on spring tune-up traffic and is ready when the first heat wave lands. Paid builds in the Charlotte metro include in-person training for your CSRs.

Two peaks a year and the shoulder months between

Carolinas HVAC runs on two peaks. Cooling calls stack up from late May through August, heat pump and furnace calls follow the first hard cold in December and January, and spring and fall belong to tune-ups and replacement selling. The systems flex with that rhythm. Speed to Lead carries the overflow during heat waves, membership reminders fill the shoulder months with maintenance work, and quote follow-up gets busiest in fall, when homeowners who limped an old system through summer finally decide on a new one.

Inside the software you already run.

Most HVAC shops run ServiceTitan, Housecall Pro, FieldEdge or Successware for dispatch and agreements, QuickBooks for the books and a phone system like RingCentral or Dialpad, and we build inside those.

Every system lives in your own accounts. We never host or store your customer data.

Where we usually start.

Missed calls and unsold proposals are the two easiest HVAC leaks to measure, because your field software already records both. Fixing them together means the calls you now book feed a follow-up process that keeps working until the homeowner signs, and the first-year return shows up in reports you already run.

2systems in one Operating Build

Planned together, priced together, fixed in writing.

Find out what you're leaving on the table.

Twenty minutes. We trace how a lead and the work move through your business and show you where the money leaks. No slides. No pitch.

  • You walk us through how leads come in and who handles them.
  • We name the one or two leaks costing you the most.
  • If a build makes sense, you get a fixed quote in writing. If not, you leave with the advice anyway.

Free video call. No pitch. We reply with times to talk.

HVAC owners ask.

Will this work with ServiceTitan?

Yes. Most of our HVAC builds connect to ServiceTitan, Housecall Pro or FieldEdge through the access those platforms allow, so bookings, notes and follow-ups land in the records your team already uses. If a feature needs something your plan does not include, we tell you before the build starts, in writing.

Can the AI book jobs on my dispatch board?

It can hold or book slots using the rules you set, such as zones, job types and which techs run which calls. Plenty of owners start with a held slot that a CSR confirms in the morning, then move to direct booking once they trust it. You decide how much it is allowed to do.

What happens when a caller has a real emergency?

You define what counts, such as a gas smell, a carbon monoxide alarm or no heat with a vulnerable person in the home. Those messages skip the queue, give the caller the safety instructions you approved and page your on-call tech. The AI never tries to diagnose a safety problem over text.

Will my CSRs feel replaced?

Usually the opposite. In July your CSRs are buried, and the AI takes the overflow, the after-hours texts and the repeated questions about when the tech is coming. Your people spend their time on the calls that need a human voice, like a nervous homeowner weighing a full system replacement.

Can it help sell maintenance agreements?

Yes. The membership offer can ride along with the invoice after a repair, appear again in the review request and come back before the next season. Every message is written in your voice and points to your actual plan pricing. Call Scoring then shows which CSRs mention the plan on the phone and which forget.

What does it cost?

Builds start at $5,000, and the price, scope and timeline are fixed in writing before anything begins. Our price guide shows the ranges for each system. We only propose a build that we believe can return 300% in its first year, and the free call is where we check that against your numbers.
