Home/Industries/Distribution

Orders entered in minutes. Quotes back the same day.

Distribution runs on orders that arrive every way except the one you want: PDFs, emails, phone calls and texts from the jobsite. We build AI into Prophet 21, NetSuite or whatever ERP you run, so purchase orders get keyed in minutes, quotes go back while the buyer is still working the bid, and inside sales spends the day selling instead of retyping.

Free video call. Nothing gets quoted unless it can return 300% in the first year.

Margin that slips between PO and invoice

Inside sales retyping purchase orders

Your best inside salespeople know the customers, the substitutes and the pricing. Too many of their hours go to keying emailed and PDF purchase orders line by line into the ERP, which slows every order and leaves no time for the calls that grow an account.

Quotes that sit until tomorrow

Contractors and buyers often need pricing for a bid with a deadline. When a quote takes a day because the rep is buried, the contractor goes with the supplier that answered. Open quotes that are never chased quietly turn into orders at a competitor's counter.

Stock and status calls all day

Is it in stock, when does it ship, did my order go out. These calls interrupt counter staff and inside sales constantly, even though every answer already lives in the ERP. Each interruption costs a little speed and accuracy on the order being worked.

Pricing errors and missed rebates

Customer-specific pricing, contract pricing and vendor rebate programs get complicated fast. When an order goes in at the wrong price or a rebate claim never gets filed, margin disappears without anyone noticing, often until the year-end numbers come back lower than expected.

10+channels B2B buyers now use

McKinsey reported that B2B customers interact with suppliers through ten or more channels, up from five in 2016, which is why orders reach distributors by every route at once.

McKinsey & Company, 2021
25 hoursa week back from manual order entry
  • Example: 300 emailed purchase orders a week
  • 6 minutes each to key by hand
  • 1 minute each to review once AI drafts them

This example uses round numbers, where 5 minutes saved on each of 300 orders is 1,500 minutes, and the free call uses your real order counts.

Two ways AI pays for Distributors and wholesalers. We build both.

Grow revenue

Quote Follow-Up

Same-day quotes, then chased

AI drafts a quote from the buyer's email, matching items and customer pricing in your ERP, and puts it in front of the rep for a quick check. Once it goes out, AI follows up before the bid deadline, suggests substitutes when an item is short and tells the rep which open quotes are about to close or slip.

Speed to Lead

Answer new account inquiries fast

When a new contractor or retailer asks about opening an account or carrying a product line, AI replies right away with what you stock, the credit application steps and the right territory rep. Outside reps get qualified introductions instead of a web form that sat in a shared inbox for two days.

Executive Dashboards

Spot accounts that are slipping

A dashboard compares each account's buying this quarter against its own history, product line by product line. When a contractor who bought fittings every week goes quiet on that category, your rep sees it within days rather than at year end, and calls before the business has fully moved to another supplier.

Grow margins

Back-Office Automation

PO entry without retyping

AI reads emailed and PDF purchase orders, matches customer part numbers to your item master, applies contract pricing and drafts the sales order in your ERP. Inside sales reviews the exceptions instead of typing every line, and the buyer gets an order confirmation with ship dates in minutes rather than sometime that afternoon.

Customer Service Assistant

Status answers without a phone call

Most calls to a distributor are status questions: did it ship, what is the tracking number, when will the backorder land. AI answers from your ERP and shipping data, sends tracking automatically and escalates only the real problems, so counter and inside sales staff stay focused on the order in front of them.

Knowledge Library

Product knowledge on demand

Distributors carry thousands of SKUs, substitutes and spec sheets, and that knowledge usually lives in the heads of a few veterans. We build a searchable library from your catalogs, spec sheets and cross-references, so a newer rep can answer a technical question in seconds instead of waiting for the one person who knows.

How we work with a distribution business

Inside your ERP, not beside it

Your ERP is the system of record, and nobody wants a second one. We build AI that reads and writes through the integrations your ERP supports, so orders, pricing and inventory stay exactly where they are and your team keeps working in the screens it already knows.

More selling per rep

The aim is more revenue per rep, not a thinner team. When order entry and status calls stop eating the day, inside sales can work open quotes, call slipping accounts and cross-sell product lines, which is where a distributor's growth actually comes from.

Counted before it is built

Distribution owners think in margin points and order volume, and so do we. Before proposing anything, we count your purchase orders, quotes and calls, and we only recommend what can return 300% in the first year, at a fixed price and scope written down.

Building seasons, buying cycles and year-end

Most Carolina distributors ride their customers' calendars. Building and HVAC supply heat up in spring as construction and cooling season start, outdoor and agricultural lines peak in spring and early summer, and many wholesalers see a fourth-quarter push as buyers spend budgets and stock up ahead of January price increases. Order automation absorbs the busy months without overtime, Quote Follow-Up keeps bids moving during bid season, and dashboards point reps at the right accounts when the slower months arrive.

Inside the software you already run.

Orders and inventory usually sit in Epicor Prophet 21, NetSuite, Acumatica, Sage 100 or QuickBooks Enterprise, with Outlook or Gmail carrying most of the incoming purchase orders, and we build inside those.

Every system lives in your own accounts. We never host or store your customer data.

Where we usually start.

Order entry is usually the single biggest drain on inside sales, and slow quotes are the biggest revenue leak. Fixing both frees hours and wins orders, and since both read the same item master and customer pricing, they are planned together as one Operating Build.

2systems in one Operating Build

Planned together, priced together, fixed in writing.

Find out what you're leaving on the table.

Twenty minutes. We trace how a lead and the work move through your business and show you where the money leaks. No slides. No pitch.

  • You walk us through how leads come in and who handles them.
  • We name the one or two leaks costing you the most.
  • If a build makes sense, you get a fixed quote in writing. If not, you leave with the advice anyway.

Free video call. No pitch. We reply with times to talk.

Distribution owners ask.

Can AI read our customers' purchase orders?

Yes, including PDFs, spreadsheets and plain emails with a list of items. It matches customer part numbers and descriptions to your item master, learns your common cross-references and flags anything uncertain for a person to confirm. Nothing posts to the ERP without the review step you choose.

How does this connect to Prophet 21 or NetSuite?

Both are common in distribution and both support integrations. We use what your version and licenses allow to read items, pricing and order status and to draft orders. Where a direct connection is limited, we work through imports or alongside your ERP partner, and the data never leaves your systems.

What about customer-specific pricing?

AI applies the pricing your ERP already holds for each customer, so contract and matrix pricing come through exactly as they do today. It can also flag orders where a price looks off against that customer's history, which catches errors before an invoice goes out and the margin is gone.

Will it work for counter sales?

Counter sales are fast and face to face, so AI stays in the background there. It helps counter staff look up stock, substitutes and spec details quickly, and it takes phone and email status questions off their plate so walk-in contractors get full attention at the counter.

A few veterans hold most of our product knowledge. Can that be captured?

That is exactly what a Knowledge Library is for. We gather catalogs, spec sheets, cross-reference lists and interviews with your veterans into a searchable tool your team can ask in plain language. The knowledge stays in the business when people retire or move on.

What does it cost?

Builds start at $5,000, and each one has its price, scope and timeline fixed in writing. ERP-connected order entry costs more than a status assistant because of the integration work involved. The price guide has the ranges, and the free call sizes the build against your actual order volume.
