How much does AI integration cost in Charlotte?

What a Charlotte service business really pays, what changes the number, and the one test we run before we quote anything.

By Black GlovePublished

The short answer.

For an owner-led service business in Charlotte, done-for-you AI integration starts around $5,000 for one system, with the price fixed in writing. Software is billed to you directly, and your team gives a few hours. Before you pay anyone, check that your own numbers show the build paying back at least four times its price in the first year.

What Charlotte owners actually pay for.

Most owners we talk to around Charlotte expect one number. There are really four, and only the first one goes to us.

  • The build. A one-time, fixed price to map the work, set the system up inside your own accounts, test it on real leads and train your team. At Black Glove, builds start at $5,000.
  • Software. Often you already pay for the tools we build on, like your phone system, CRM or field service app. If a system needs something you don't have, the vendor bills you directly, in your name, with no markup.
  • Your team's time. A kickoff, a review of the messages that go out in your name, and a short training session. Plan on a few hours, not weeks.
  • Upkeep, if you want it. An optional monthly plan covers changes, monitoring and new prompts after launch. It is quoted with your build, never sprung on you later.

Why a done-for-you build starts at $5,000.

A software subscription costs less per month. The catch is that someone still has to set it up, write every message, connect it to your other tools and keep it running. In most owner-led companies that someone is the owner, at the kitchen table after the crews are home.

A done-for-you build replaces that work. The price covers mapping how leads and jobs actually move through your business, configuring the system inside the tools you already run, testing it on real conversations before anyone relies on it, training the people who use it and setting a baseline so you can see what changed.

That is why we quote a fixed price, scope and timeline in writing before any work starts. You know the number before you commit, and it doesn't move.

What moves the price up or down.

Two builds can share a name and still cost different amounts. These are the things that move the number:

  • How many systems. One system on its own costs less than two or three built together, though building them together usually costs less than building them one at a time.
  • How many tools have to talk. A lead reply that only touches your phone line is simpler than one that also books into your calendar and updates your CRM.
  • How clean your data is. Price sheets, service areas and job types that live in someone's head have to be written down before an assistant can use them.
  • How many people and locations. More users means more training and more permissions to set up.
  • Custom reporting. Live dashboards for each leader take more work than a system that simply runs in the background.

The free price guide lists every build, what it includes and what it takes to clear our return rule.

A Charlotte firm or a national one?

You can hire AI help from anywhere, and plenty of national agencies will sell to you over Zoom. What a local firm gets you is time in the room. We work in person around the Charlotte metro, from Huntersville and Concord down to Fort Mill and Rock Hill, and by video everywhere else in the Carolinas.

That matters most in the first week. Sitting with your office manager for an afternoon, hearing how the phone actually gets answered and seeing where estimates pile up tells us more than any intake form.

How to tell if it pays off.

Price only matters next to return. We hold every build to one test, the 300% rule: we only propose a build if your own numbers show it can return at least four times its price within the first year, in new revenue or payroll saved. If nothing clears that bar, we recommend nothing.

Build price$5,000
Has to return$20,000+

Say you run an HVAC company in Matthews and your average job is $1,500. That is about 14 extra jobs in a year, a little over one a month. If the build saves office time instead, ten hours a week at $40 an hour is $20,800 a year.

Example figures

Run the same math on your own numbers before you buy anything, from anyone. If a provider can't show you where the return comes from, in your systems, keep your money.

Five questions to ask any Charlotte AI consultant.

  1. Is the price fixed in writing? Hourly work on something new tends to run long.
  2. Who owns the accounts? Everything should be built in your accounts, so you keep it if you ever part ways.
  3. Where does my customer data live? The safest answer is that it never leaves the tools you already use.
  4. How will we measure it? Ask for a baseline before launch and a target, from your own systems.
  5. What happens after launch? Know who fixes things, how fast they reply and what upkeep costs, before you sign.

We go deeper, with the red flags to watch for, in Hiring an AI consultant in Charlotte.

Where to start.

Start with the leak that costs you the most, not the tool that sounds the most exciting. For most Charlotte service businesses that is one of three things: leads that wait too long for a reply, quotes nobody follows up on, or office hours spent retyping the same information.

A free 20-minute profit leak call is the fastest way to find yours. We trace how a lead and the work move through your business, name the one or two leaks costing you the most and, if a build clears the 300% rule, send a fixed quote in writing. If not, you leave with the advice anyway.

Questions owners ask.

Is there a monthly fee for AI integration?

Not necessarily. A Black Glove build is a one-time fixed price. Any software runs in your own accounts and the vendor bills you directly, with no markup. An optional monthly plan covers upkeep and changes if you want it.

Do I need to buy new software?

Usually not. Systems are built inside the tools you already run, like your phone system, CRM or field service app. If something new is needed, your quote lists the cost first.

Do you meet in person in Charlotte?

Yes. We work in person around the Charlotte metro and by video everywhere else in North and South Carolina.

How long does an AI build take?

Every timeline is fixed in writing before work starts. A single system usually takes a few weeks, including testing on real leads and training your team.

What if the build can't pay for itself?

Then we don't propose it. We only quote a build if your own numbers show it can return at least four times its price within the first year. If nothing clears that bar, we recommend nothing.
